Booking & Cancellation Terms

1. About these terms
These terms explain the general arrangements for Vietnam Detox retreat enquiries, bookings, payments, screening and cancellations.
They must be read together with the offer, service description and payment and cancellation conditions supplied for your particular retreat before booking.
Retreat-specific conditions take precedence over these general terms where they expressly address the same matter, subject to mandatory law. Conditions introduced after your booking do not automatically change your existing agreement.
2. Website operator and direct-booking provider

3. Your contracting partner
Direct bookings with Urban Healing
For direct bookings paid through Vietnam Detox’s OnePay payment process, your contracting partner is Urban Healing One Member Limited Liability Company.
OnePay facilitates payment. It is not the provider of the retreat.
Bookings with a partner hotel or provider
Where you book and pay directly with a partner hotel or another identified provider, that provider is your contracting partner for the services specified in its offer.
Its payment, cancellation and refund conditions apply to that booking, subject to mandatory law.
The retreat venue and the contracting provider may be different organisations. The provider responsible for your booking must be identified in your offer and confirmation.
Health screening
Urban Healing conducts the Vietnam Detox health and suitability screening in both booking arrangements.
A hotel reservation or successful payment does not, by itself, confirm that you are suitable to participate in the fasting programme.
4. Enquiries, reservations and confirmation
An enquiry, discovery call or request for availability does not constitute a confirmed booking.
Before a binding booking is completed, the relevant provider must supply the retreat dates, services, total price, required payments and applicable cancellation conditions.
Your offer identifies the steps required to secure the reservation. These may include acceptance of the offer, payment of a deposit and written confirmation.
If a reservation is made before screening is complete, participation remains subject to Urban Healing’s suitability review. The treatment of payments if participation cannot be approved must be explained before payment.
An automated acknowledgement confirms receipt of information or payment only to the extent stated in that message.
5. Prices and included services
Your booking covers the services expressly included in the accepted offer and confirmation.
Accommodation, room occupancy, meals or fasting provisions, activities, transfers and additional services vary between retreats.
Flights, visas, insurance, additional treatments and personal expenses are included only if expressly stated.
The booking currency, applicable taxes and any mandatory charges must be disclosed before you commit. Prices displayed in another currency for guidance do not replace the confirmed booking price.
Optional extras require your agreement. Changes to your room, guest numbers, dates or services may result in a revised price, which must be communicated before you accept the change.
6. Deposits and remaining payments
Deposit amounts and payment deadlines are specific to the selected retreat and provider. The applicable schedule is supplied before payment.
A deposit does not replace the required health screening.
For direct bookings, follow the payment instructions issued by Urban Healing. For partner bookings, follow the instructions issued by the partner provider.
If a payment becomes overdue, the provider will explain the consequences and any opportunity to remedy the delay before cancelling the reservation, subject to the agreed conditions and mandatory law.
Please contact the provider promptly if you believe a payment has not been correctly recorded.
7. Health information and participation
Each participant must complete the required screening process and provide accurate, relevant information about their health and medication.
Please inform Urban Healing if relevant circumstances change after screening or before arrival.
Participation may need to be declined, postponed or adapted where the programme is unsuitable. A booking made for two or more guests does not mean that one guest’s screening approval applies to the others.
The retreats provide preventive wellness and fasting guidance. They are not a substitute for medical diagnosis, treatment or continuous medical supervision.
Do not stop or change prescribed medication without advice from your treating healthcare professional.
Health information and related permissions are handled under our Privacy Policy and the separate consent provided during screening.
8. Cancellation by a guest
Cancellation requests should be made in writing to the contracting provider.
For direct bookings, email info@vietnamdetox.com and include your name, retreat dates and booking reference.
For partner bookings, contact the hotel or provider identified in your confirmation. Please also inform Urban Healing if screening or preparation appointments need to be cancelled.
The cancellation schedule supplied before booking determines any applicable charges, refund or credit, subject to mandatory law. No single percentage or deadline applies to every Vietnam Detox retreat.
These general terms do not create an additional cancellation charge or automatically make a deposit non-refundable.
Request written acknowledgement of your cancellation and contact the provider if you do not receive it.
9. Changes, replacement guests and retreat credits
Requests to change dates, accommodation, guest numbers or the named participant are subject to availability and the applicable booking conditions.
Any proposed fee or price difference must be explained before you accept the change.
A replacement guest must complete their own registration and health screening. Any mandatory right to transfer a booking remains unaffected.
Where a retreat credit is offered and accepted, its value, validity, permitted use and any restrictions must be confirmed in writing.
10. Health-related cancellation or interruption
If Urban Healing cannot approve participation following screening, we will inform you and coordinate the next steps with the contracting provider.
The refund or transfer arrangements disclosed before payment apply, together with any mandatory rights. For partner bookings, the partner administers any refund of payments it received.
If you become unwell before arrival, contact Urban Healing and your booking provider promptly.
If participation needs to stop or change during a retreat, the team will discuss the available options. Refunds for unused services depend on the reason, the applicable agreement and mandatory law; early departure does not automatically establish either a full refund or forfeiture of all payments.
11. Non-attendance, late arrival and early departure
Please notify the provider if you expect to arrive late or cannot attend.
Charges or refunds for non-attendance, late arrival and early departure follow the conditions supplied for your booking, subject to mandatory law.
Contact the provider before assuming that a missed arrival will leave the remainder of your reservation available.
12. Changes or cancellation by the provider
The provider will inform affected guests as soon as reasonably possible if it cannot deliver the retreat as agreed.
Where a retreat depends on a minimum participant number, the minimum and the relevant cancellation deadline must be disclosed before booking.
If a retreat is cancelled or significantly changed, the provider will explain the applicable options and refund rights. An alternative date, retreat or credit will not replace a refund to which you are legally entitled without your agreement.
Nothing in these terms permits the provider to retain payments contrary to mandatory law.
13. Events outside reasonable control
Serious events such as natural disasters, government restrictions or major disruption may affect a retreat.
If this happens, the provider will explain the impact on the agreed services and the available options.
The financial consequences depend on the applicable agreement and law. Such an event does not automatically make every payment non-refundable or remove mandatory cancellation and refund rights.
14. Refund administration
The contracting provider responsible for the payment will confirm any refund due, the calculation and the expected processing arrangements.
For direct bookings, Urban Healing coordinates refunds relating to payments received through its OnePay process. For partner bookings, the partner handles refunds of payments it received.
Refunds will normally be returned through the original payment route where available, unless another appropriate method is agreed.
Bank and payment-provider processing times may affect when funds appear in your account. Applicable statutory refund deadlines remain unaffected.
Any deduction must have a valid basis in the agreement or applicable law.
15. Private and bespoke retreats
Private retreats are arranged through an individual proposal.
The proposal identifies the programme, venue, dates, included services, price, contracting provider and payment and cancellation conditions.
An initial discussion or request for a proposal does not create a payment obligation. Any provisional date hold is subject to the period and conditions confirmed in writing.
16. Travel arrangements and insurance
Unless included in your offer, you are responsible for arranging travel documents, transport and suitable insurance.
We recommend checking cancellation, interruption and health-related coverage, including any exclusions affecting fasting or wellness activities.
These recommendations do not limit the provider’s legal responsibilities for services included in your contract.
17. Conduct and programme adjustments
Guests are expected to follow reasonable programme and safety instructions and respect other guests, staff and the venue.
Activities may require adjustments because of weather, venue conditions or individual suitability. Significant changes to the agreed services remain subject to the guest’s contractual and statutory rights.
Individual experiences and outcomes vary. No specific weight change or health result is guaranteed.
18. Complaints and liability
Please raise concerns promptly so that the responsible provider has an opportunity to address them.
For matters relating to Urban Healing’s services or screening, contact info@vietnamdetox.com.
For partner-administered payments or accommodation, contact the provider named in your booking. Urban Healing can assist with coordination where appropriate.
Nothing in these terms excludes or limits liability where doing so would be unlawful. Mandatory consumer rights, including any applicable package-travel rights, remain unaffected.
19. Applicable law and disputes
Urban Healing is established in Vietnam. Applicable law and jurisdiction are determined by the relevant agreement and mandatory legal rules.
Nothing in these terms removes protections or rights to bring proceedings that cannot lawfully be excluded under the law applicable to your booking.
Please contact the responsible provider first if a dispute arises so that the matter can be reviewed.
20. Privacy and acceptance
Booking information is handled as described in our Privacy Policy.
Acceptance of booking conditions is separate from newsletter subscription and from any explicit consent required for health-data processing.
The conditions supplied and accepted when your booking is made remain the relevant version for that booking, unless a change is validly agreed or required by law.
